Streamlined Email Management in Claimvoyance with Automation of all Tasks

In this video, I demonstrate how Claimvoyance streamlines email management by integrating it directly into the system. I show you how emails are automatically associated with matters, how attachments are saved, and how notifications are generated. Additionally, wehighlight the built-in email system's unique features, such as easy access to contacts and automated email templates. Throughout the video, we emphasize the efficiency and time-saving benefits of using Claimvoyance for email management.

00:01 Here, we examine Claimvoyance, an integrated email system designed to streamline processes. It ensures that every email related to a case is automatically uploaded to the appropriate matter, along with any associated files. Notably, it is the first software equipped with a counter to address the contemporary practice of serving court and claim documents via email, even before the onset of litigation.

00:18 This software accounts for the prevalence of court and claim documents being served via email in modern legal proceedings. It is crucial to adapt to this shift, and Claimvoyance effectively handles these scenarios. Now, I'll illustrate how it operates.

00:29 Let's begin by sending an email to the account. When an email is incoming and already linked to a matter, the ongoing conversation is automatically incorporated into that matter's conversation panel. If it's an email entering for the first time, it goes directly to the main inbox. I'll demonstrate this process.

00:38 If an email is associated with an existing matter, it seamlessly integrates into the ongoing conversation. On the other hand, if it's a new email unrelated to any existing matter, it appears in the main inbox. Now, let's explore the three options provided for handling such emails.

00:51 The first option is to delete the email if it's irrelevant or a random message. If it's a new case, you can create a new matter directly from the email. I'll initiate this action, showcasing how easy it is to set up a new matter.

01:01 Having saved the email, you can proceed with the new case. Alternatively, if the incoming email is associated with an existing matter, you can choose to add it to that matter. This process ensures efficient organization and easy access to relevant information.

01:17 Now, let's add the email to an existing matter. By selecting "add to existing matter" and confirming, the email is removed from the inbox, maintaining cleanliness. It is then seamlessly incorporated into the conversation panel of the specified matter, demonstrating the fluidity and effectiveness of Claimvoyance.

01:40 There's a link here. So this document that was a text that incoming email is already saved, and it's embedded there, and it's saved there forever.

01:48 This is the email that came in, so it's already saved as well, and the conversation, and the world will always be there.

01:53 And in addition to that, check this out. And automatically, anything that's attached to the email automatically gets moved over to the file, which is what we have here.

02:02 So that any attachments are automatically saved ensuring nothing gets lost, and making it very easy to maintain the case, and removing any need to save documents to your desktop, upload them to a finalist, all that's is gone.

02:16 And watch this if you want to save it to a specific file, you can just drag and drop. Watch this, now that estimates in here, If you want to go ahead and send it to a client, you could do a link right from there.

02:28 And you can go ahead and create an email, which is what I'll do here. Let me just give you an example of that as well.

02:49 Okay, so I'm sending that up here, I'm going to go ahead and create a link. There it is. I'm going go home.

02:56 I'm going to insert it there, all right, I'm going to go ahead and send that email. And I'll use that in a moment to show you another feature.

03:04 But now you can see that email conversation here it is. And it's already got the email I just sent, save to the file.

03:10 So you never have to worry about emails getting lost. We're tracking down documents that were sent to an email. All right, now I'm going to go ahead and show you how it works when there's already an email associated with a matter.

03:25 so what I'll do now is pull up that email that was just sent to a user outside of Claimvoyance.

03:31 Here it is. And now if this person responds to that email, you'll see that Claimvoyance automatically pulls it right into that matter.

03:41 And then so it's automatically saved again within the conversation panel of the matter. So there's no need to worry about uploading emails.

03:49 And if there weren't any attachments to that email again, those would automatically get saved just the same way. So there you can see that's the email that was just responded to.

03:58 So now all the and forth here, automatically gets pulled in right to the system. In addition to that, you can see here that there's a new notification that came in.

04:08 Let me show you that. So if you are assigned to a matter and an email comes into it, you can see an automated gets uploaded here.

04:15 This ensures that nothing gets missed, and also ensures that it's tracked and logged forever with full accounting of what comes into the system.

04:23 So it shows that email that just came in, 37 seconds ago, and it has a link to it, takes your right there to the email.

04:32 A few other unique features about plane points is built in email system. As you can see that it has the people.

04:39 And what that does is that allows it so that only the people associated with the actual claim come up when you search.

04:46 So that makes it easy to find anybody that you want to email. You don't need to go searching for contacts.

04:51 Let me show you what I mean. You just click there. There you have everybody that's associated with the case that you possibly need to send an email to is right there.

05:00 If anybody new comes into the case, you just simply add them and then I'll show up right there, making it super easy.

05:07 Also, if you need to add a specific term, all the matter fields pop up automatically as well. But because Claimvoyance also have built in email templates, you basically never even need to do that.

05:21 Let me show you what I mean. all the way through the entire claim process and if you get into litigation, that's automated from the day.

05:29 Complain is filed up until an appeal, if needed. And so let me show you, if you are on the side of representing an insured, for example, you would simply set this task, which I'll do in a moment.

05:40 And this automates the process from dealing with the potential new client, getting retained, to sending an L.O.R. Has, if you are out of state, and you need to get in half a day, all those things and it calculates all the deadlines as well, such as for the insurer to respond within seven days, do an

05:58 estimate within a certain time period, make a claim decision, and you could see all of these dates are here, and I'll study how those get triggered in a moment.

06:08 And then the same thing if you're on the side of the insurer, all those dates are automated as well. So when the claim is received, the response is automated, the deadline to respond is automated, and that goes all the way through up to issuing a decision on the claim and litigation as well if that becomes

06:26 necessary. So let me show you how this works. I'm going to go to a matter here. I'm going to show you how easy it is to set all those automated tasks.

06:34 So I'm going to go here, and I'm going to apply a new task list, and then we're going to set the task.

06:39 I'll show you how far out this contemplates work need to be done. So what just happened here is I set all these tasks.

06:47 Can you And as you can see here, there are certain tasks that are blocked, and because that allows future deadlines that you don't know when they'll occur, but this allows those dates to be calculated in the future with precision, and then the action and these would be taken to be automated as well.

07:05 And let me show you now how it is to complete all these tasks. And as I mentioned, to Claimvoyance answers, the first software program to recognize that all of the work flows through the emails now.

07:16 So, what you do is you complete all your work you need to do on a case to your conversation panel.

07:21 so let me give you some examples of the automation here, let's say you're starting with a potential new client that's just coming in.

07:27 If you wanted to send out an email to get that started, you could click the task, bam, and then you could see that automated email has just been completed.

07:37 It includes place-specific information, the name, and also includes links, which are a very unique feature I'll show you in a moment.

07:45 I'll go ahead and send that and all I have to do is just simply click send. All right, and then that has email has now been sent to the person that I was setting it to there.

07:56 And it's also saved right there. All right, as you can see that just came in, so I'll open it. And here's what it looks like.

08:02 You'd see I just sent that email with a click of a button there. And now, for example, what that included was an example of a Claimvoyancee auto-bended form.

08:12 So the recipient clicks that and it gets to take some right to a formula. And this is allowing them to provide information about their claim.

08:19 They entered their email, they would enter any information there, they simply clicks them in. And then once they do that, it automatically gets saved and uploaded to the file and the saved there forever.

08:31 So that's an example of a task there. Let show you a few more. Let me show you another example here.

08:37 Let's say that you need to send a potential client, a letter of representation. All you would do here is you go ahead and click this.

08:46 Bam, you can see that sets up the automated email, clean specific. And then you click this and what's happening as we speak is that document itself is actually being created right there.

08:56 So there you go. You can see you have what is a letter of representation prepared, claims specific, and you simply attach that.

09:04 That is done. And then you can send it to the potential client, which I'll go ahead and hit send. And then that will go right to the potential client.

09:13 There and they'll receive that. And just like everything else, it's automatically saved. The email is automatically saved there. As is the document that you just sent.

09:22 So I'll go ahead and show you. There we go. It just came in and as you can see with the click of a button, I sent an email And I've also attached the document related to a claim Let me give you another example here of how easy the automation makes everything that needs to be done To do that.

09:39 I want to show you the task bar to give you the step-by-step. Have these work So let's have some of these completed and then we'll go on to assume that you indeed get retained on this case.

09:51 Well the next thing that you would go ahead and do then is send a welcome letter. Okay that would be automated and then you would also send a letter representation to the insurer.

10:01 Let me show you how that will works. So I'm going here. All the tasks are completed through the conversation panel and I grab that task here and bam you can see that just created the email to the insurance company, clean specific.

10:15 Let me do a get that ready to send as well. And then you go click that and now it's creating a letter to the insurance company.

10:24 Here you can see it's quite specific, lays everything out, you simply click Attach. You go ahead and send and now within seconds you can see we just created an email to the insurance company as well as a letter reporting the claim.

10:39 And that was also sent just by clicking an email and it also moved the task of being complete as well.

10:45 So that's done automatically. And here it is. You can see that email just came in. Here is the email that was just sent there.

10:53 And also has the document that was attached. Here it is. And another example of the forms. You can see the insurer was just sent a form so that if they want to request an inspection on the claim, what they do is they simply add their email here, we'll get automatically uploaded.

11:10 And they put in dates they're available for the inspection. And that removes all the work that's associated with the back and forth of scheduling and inspection.

11:17 So that's another example of what can be hours and hours of work we just completed here in a second. And you can see I'll just now show you how far the automation goes.

11:27 So it goes all the way through the entire process. Each one of these tasks here are set so that to complete that and be simply click a button.

11:38 And that will include the automated email. And it also includes the automated letter as well and it also accounts as I had indicated all the deadlines that can come up so you can see certain deadlines get kicked in when an insurance company receives an estimate.

11:56 I'll show you here when insurance company receives a proof of loss certain deadlines get kicked in and as you can see so that just happened where by completing that task that mean that a proof of loss was just sent to the insurance company.

12:10 So what happened there was it went ahead and triggered for an accounted for the date that the insurance company will have to make its decision on the claim.

12:18 So that gets automated here. So you can see it accounted for the deadline for them to go ahead and issue a payment on the claim.

12:26 And that's how all the deadlines are triggered with precision. and the click of a button allows completion of all those automated tasks, sending the emails, the letters, and accounting for all the deadlines that are triggered from completion of that task.

12:42 Those are just an example of few of the features through Claimvoyance and as you see the most important aspect of it, is that all of those features, Many more that you haven't seen here yet, like a word at it, and all those things are done directly through Claimvoyance itself.
